Every wedding venue reaches the point where the inbox, the diary and a spreadsheet can't keep up. Enquiries arrive from your website, directories, Instagram and the phone, and the couples who don't hear back quickly book somewhere else. Bridebook's UK Wedding Report 2026 found that 81% of couples felt frustrated with venue responses, and 79% booked their venue within four weeks of first contact. Keeping up is the job a wedding venue CRM does.
Full disclosure: we make Venue Spark ONE, a CRM for wedding venues, and it's in this list. We've tried to be fair. We describe each tool using what its maker says it does, explain who it suits, and are clear about when ours isn't the right fit. Features were checked on each provider's website in October 2026, so check with them for the latest details and pricing.
What is a wedding venue CRM?
A wedding venue CRM (customer relationship management system) keeps every enquiry, conversation and tour in one place, from the first message to the signed contract. It replies to new enquiries, reminds your team who to follow up with and shows where every couple is in your pipeline, so no booking slips through the cracks.
Wedding venue CRM vs venue management software
The two are often confused. A CRM is about sales: turning enquiries into tours and tours into bookings. Venue management software is about delivering the wedding once it's booked: menus, table plans, timelines, payments, couple portals and, for some venues, accommodation.
Some platforms do both, and some venues use one of each. Knowing which problem you're trying to solve is the first step to choosing well.
What a venue CRM needs to do
- One inbox for every channel: website forms, email, directories, social media and WhatsApp in one place.
- Instant replies, day and night: couples plan in the evenings and at weekends, so your first reply can't wait until Monday. Research in Harvard Business Review found that firms that contacted a lead within an hour were nearly seven times as likely to qualify it as those that waited even one hour longer.
- Automated follow-up that stops when a person replies: nurture without sounding like a robot.
- Tour booking couples can do themselves, linked to your diary.
- A pipeline you can see: every couple, every stage, at a glance.
- Reporting on what matters: enquiries, tours and bookings by source, not just opens and clicks.
- Integrations with your calendar, website and the tools you already use.

Venue Spark ONE
Our own wedding venue CRM, built for the sales side of a venue: instant replies, email, SMS and WhatsApp follow-ups, tour booking, one unified inbox, pipeline visibility, re-engagement sequences for couples who went quiet, review management, and tools for open days and showcases. It's run alongside our marketing by people who only work with wedding venues.
Not the right fit if you only want software to run entirely yourself, or your main need is planning the wedding after it's booked, such as menus and table plans. A dedicated venue management tool may suit you better there.
WedPro
Made by WeddingDates, WedPro describes itself as lead and sales pipeline management software for hotels and event venues. It offers a task dashboard to keep follow-ups on track, automated but personalisable couple communications, one hub for enquiries linked to your website forms and reporting on which marketing channels pay back. A good fit for hotels and venues with a dedicated sales team.
Sonas
Sonas positions itself as wedding venue management software covering both sales and the event itself. On the sales side there's a centralised inbox with reminders, branded enquiry forms, self-booked viewings and lead tracking. After booking, it handles menus and catering, guest and table seating, timelines, a couples' portal, invoicing and payments with Xero sync. Worth a look if you want one system for everything.
BriteBiz
BriteBiz is an event management platform for venues and event professionals, covering inquiries, proposals, contracts, payments and reporting, with floor planning, automations and integrations with tools including Stripe, QuickBooks, Xero, Google Calendar and Mailchimp. Strongest for venues that want proposals, contracts and payments joined up.
Hostology
Hostology is UK venue management software for exclusive-use venues, combining enquiries and CRM with event planning, guest management, accommodation, catering, Stripe payments and integrations such as Xero and Gmail. Its standout feature is accommodation: assign rooms to guests or let guests book them directly. A natural choice if you have rooms on site.
HoneyBook
HoneyBook is a client management platform for independent businesses, best known for proposals, contracts and invoices, and launched in the UK in 2026. It's popular with photographers, planners and other suppliers. Venue-specific workflows, such as viewings and date availability, aren't its focus.
HubSpot
HubSpot is a powerful, flexible general CRM that many businesses already use. It can be configured for a wedding venue pipeline, but out of the box it knows nothing about tours, wedding dates, brochures or open days, so someone on your team needs the time and skills to build and maintain it.
Your inbox and a spreadsheet
Still the most common setup, and the one every CRM above is really competing with. It costs nothing up front, but follow-ups depend on memory, reporting is manual and leads go cold in busy weeks. If you're handling more than a handful of enquiries a month, it's usually the most expensive option in lost bookings.
How to choose the right CRM for your venue
Start with your biggest bottleneck, not the longest feature list:
- Not enough enquiries? A CRM won't fix that on its own. Fix lead volume first with Google Ads, social media ads and SEO.
- Plenty of enquiries, not enough tours or bookings? You need speed and follow-up: instant replies, automated nurture and easy tour booking. A venue sales CRM is the answer.
- Drowning in admin after the booking? Look at venue management software with menus, seating, payments and a couples' portal.
- Accommodation on site? Choose a system that handles rooms and guest bookings.
Questions to ask before you buy
- Who sets it up, and how long until we're live?
- Does it reply to enquiries instantly, including out of hours?
- Can couples book tours themselves, straight into our diary?
- Can it capture enquiries from the directories we use?
- Can we see enquiries, tours and bookings by source?
- Who owns our data, and can we export it if we leave?
- Is support available in our time zone when we need it?
Wedding venue CRM FAQs
What is the best CRM for wedding venues in the UK?
It depends on your bottleneck. For turning enquiries into tours and bookings, choose a venue sales CRM such as Venue Spark ONE or WedPro. For managing events after they're booked, look at venue management software such as Sonas, BriteBiz or Hostology. A general CRM like HubSpot can work if you have the expertise to configure it.
Do wedding venues really need a CRM?
If you handle more than a handful of enquiries a month, yes. Without one, follow-up depends on memory and spreadsheets, and couples who don't hear back quickly book elsewhere.
What's the difference between a venue CRM and venue management software?
A CRM manages the sale, from first enquiry to signed contract. Venue management software manages the event after booking: menus, table plans, timelines, payments and couple portals. Some platforms do both.
Can a CRM reply to wedding enquiries automatically?
Yes. Most venue CRMs can send an instant reply to new enquiries. The best follow up across email, SMS and WhatsApp and stop automatically when someone on your team replies, so couples always get a personal conversation.
How much does a wedding venue CRM cost?
Prices vary widely, from low monthly fees for supplier-focused tools to custom pricing for venue platforms with setup and support. Compare what's included, such as setup, training, support and any marketing, not just the monthly fee. See Venue Spark ONE pricing.
